The question we get asked more than any other: how many plates, cups and napkins for the number of guests coming? Buy too few and someone goes without, buy too many and you are storing paper plates for years. Here is a simple per-guest rule and a ready-made shopping list for common party sizes.
The per-guest rule
Plan on this per person, then round up:
- Plates: 2 each. One for food, one for cake or dessert. If you are serving a buffet where people go back for seconds, allow 3.
- Cups: 2 each. Drinks get put down and lost, so people take a fresh one.
- Napkins: 3 each. They are cheap, they disappear fast, and it is the last thing you want to run out of.
- Cutlery: 1 set each if you are serving a sit-down meal, plus 10% spares. Skip it entirely for finger food.
Always add 10 to 20% on top for spares, spills and unexpected arrivals.
Ready-made shopping lists
Using the rule above, here is what to put in the basket for common party sizes:
- 10 guests: 20 plates, 20 cups, 30 napkins, 10 to 12 cutlery sets.
- 12 kids: 24 plates, 24 cups, 36 napkins. Kids drop and swap more, so lean generous.
- 25 guests: 50 plates, 50 cups, 75 napkins, roughly 28 cutlery sets.
- 50 guests: 100 plates, 100 cups, 150 napkins, 55 to 60 cutlery sets.
